Factory visit, pre-shipment inspection or laboratory test?

Supplier capability, the condition of a finished shipment and conformity of a tested sample are three different questions. Choose the evidence that matches yours.

Factory due diligence checks the supplier context

An appointment-based factory visit is useful before shortlisting a supplier or placing an order. It can document the location, available machinery, current activity, stock, paperwork and the relationship between the seller and production site. It can flag contradictions and missing evidence. It does not prove that a future batch will meet every requirement, even if the equipment observed appears suitable.

A buyer-side report should distinguish observations from supplier statements and document-only evidence. Access limits, inactive lines and unvisited subcontractors matter. The result is dated commercial due diligence, not a supplier certification or an approval valid indefinitely. Changes in equipment, sourcing or subcontractors may justify a new check.

Pre-shipment inspection checks an identified lot

A separately commissioned, independent pre-shipment inspection normally focuses on goods that are ready or at an agreed production stage. Its written scope defines the lot, quantity, sampling approach, acceptance criteria, accessible tests, packing, markings and timing. The body should explain which standards and contractual requirements it can assess. A generic request to “inspect quality” is not a usable acceptance plan.

Agree the inspection before the goods are sealed or dispatched. Clarify whether loading supervision is included or separate, how the lot is identified and what happens if part of the order is unavailable. Ask who receives the report and whether the inspector is independent of the seller. An inspection report has sampling and scope limits; it is not a warranty for every unit or all future deliveries.

Laboratory testing answers defined material questions

Chemical composition, mechanical properties, coating mass and specialized performance may require agreed tests at an appropriately qualified laboratory. A photo of a coil, a handheld measurement or a supplier's certificate cannot replace the required test method. Choose the applicable standard, sample type, number of samples and acceptance criteria with technical advisers and the testing body.

Sampling and chain of custody are essential. Record where samples came from, which batch they represent, who selected and sealed them and whether substitutions could occur. A result for one submitted specimen is not automatically evidence for an entire container. The laboratory should describe its method, relevant accreditation scope and the limitations of its conclusion.

Match the buying stage to the check

  • Before shortlisting: check identity, site and relevant process capability.
  • Before a deposit: resolve supplier-chain questions and review commercial protections with suitable advisers.
  • During production: agree progress checks where timing or process evidence is important.
  • When goods are ready: commission a lot-specific pre-shipment inspection with clear acceptance criteria.
  • Before loading: check packing, markings and loading if these are included in scope.
  • Where a property matters: arrange appropriate independent sampling and laboratory testing.

Keep responsibilities and fees separate

SteelDesk can help coordinate supplier communication and a separately commissioned independent inspection. Do not assume a visit fee includes a laboratory, accredited inspection or conformity certification. The independent body's fee, scope, report and appointment are agreed separately. No named inspection brand should be presented as our partner unless that relationship has actually been established.

Destination-country import rules, project approvals, tariffs and customs clearance remain with the buyer and its qualified advisers. Buyer location can be anywhere; the supplier check takes place in China. See the factory visit scope and send the stage of your order so the proposed work addresses the uncertainty you actually face.

Scope and evidence limits

This is commercial due diligence, not certification or a quality guarantee. We arrange supplier visits across China, with fastest access from Tangshan. Appointments and filming permission must be agreed before attending. Unavailable evidence stays not verified; it is not silently treated as a pass.
