Define what the quotation must mean
Write the applicable standard, grade, thickness basis, width, tolerances, coating type and designation, surface finish, treatment, coil weight, inside diameter and packing. Confirm whether a quoted thickness includes the coating and which measurement basis is required. A range in a catalogue is not the same as a commitment for your order. Do not assume that the supplier uses the same meaning for a coating designation under every standard.
For a Z designation under an agreed standard, confirm the required coating mass, units, test method and treatment of both surfaces. Unequal coating distribution or a different coating type may need more explicit requirements. Your engineer or testing body should clarify these details rather than leaving the interpretation to a verbal promise.
Check the process and material chain
Identify the substrate supplier, coating plant, any slitting or recoiling location, warehouse and contracting seller. An appointment can establish whether the named site has a relevant line and what was operating during the visit. A plant storing galvanized coil may be a stockist rather than a galvanizer. A coating line's existence does not prove that the quoted batch was processed on that line.
Ask for input and output records made available by the supplier, and compare the identifiers with labels on accessible stock. State whether the linkage was observed, explained by the supplier or supported only by documents. If processing is subcontracted to an unvisited location, record that limit instead of treating the whole chain as verified.
Connect certificates to identifiable coils
- Record coil, heat or batch numbers, dimensions, weight and producer shown on labels.
- Compare them with the certificate and packing list, allowing for documented processing changes.
- Ask whether the certificate covers the substrate, finished coating or both.
- Check what the reported values mean under the specified method, not just whether a document has a stamp.
- Where authenticity matters, seek confirmation through the issuer's independently checked channel.
Understand what visual checks cannot establish
Appearance can reveal visible damage, rust, packing condition or inconsistent surface finish. Spangle size and colour are not reliable proof of coating mass, steel grade or mechanical properties. A calibrated handheld gauge may offer useful screening information under suitable conditions, but it should not be presented as equivalent to a specified mass test. Measurements need a defined method, instrument, sampling position and record of conditions.
For acceptance-critical properties, arrange representative sampling and independent testing with a suitably qualified body. Decide the standard, acceptance criteria and chain of custody before samples are taken. A result for one convenient loose sample does not establish conformity of every coil in the order. Check packing and the actual dispatch window
Compare packing, edge protection, moisture protection, straps and markings with the purchase requirement. Ask how coils will be stored before loading and identify any visible exposure. If loading evidence is required, book the relevant window separately and confirm access. A visit weeks before dispatch cannot prove what was finally loaded.
